What is Managed Print Services?

The managed print services definition is broad, but the end result is simple: gaining visibility and control of your printing, which helps you save money and boost productivity. Managed print also helps you improve environmental sustainability and document security.

By “printing,” we mean the total cost of managing and optimizing your printers, their output, and the people and processes that support these devices. This includes:

  • Pages produced by office workers, mobile workers and production print operations
  • Office desktop printers, multi-function printers, copiers, scanners, fax machines and high-volume printers
  • Materials sent out for quick printing, offset printing, mailing and distribution
  • IT help desk support, technical service, maintenance, and add, move and change requests
  • Paper, ink, toner and other supplies and consumables

Add up the costs of “printing” and it accounts for a large chunk — as much as 15% of a business’s annual spending. Through managed print services, you can outsource print management and cut costs by as much as 30%.”

Here’s my  two-cents….as with any purchase or lease acquisition buyers should perform their own due diligence, seek unbiased information and retain vendor-neutral advice that is not solely from the seller’s point of view.

Although the traditional copier dealer channels occupy 9,000+ vendors nationally (source: Reference USA) the MPS providers and offerings are gaining traction as an alternate way of paying for equipment, service and supplies of all copiers and desktop devices.

Attn CFOs!!  By sourcing independent industry specialists and having them partner with IT, Facilities or Materials Management this newest way of selling can reduce print spend further.  Timing is everything “they say” and by beginning this review and audit process 12-15 months before the end of your contract will best empower the buyer.

Sellers are great investigators.  They’re trained to use intellectual strategies to gather small pieces of critical data throughout term and in turn they may use this information to structure their next proposal.  Train and coach your staff to direct all communications to one internal contact.   Don’t allow your information to slip out at any level!

Often the 80/20 rule applies.  You know the 80% we compliment the 20%!  Never buy alone!
